How to make calls using Hubspot

The article describes the call options that are available in Hubspot.

Email is the default way of communicating with our customers. In case we feel that having a phone call will facilitate communication, we can offer a call to the customer.

We have the following options to talk to a customer using Hubspot:

1. Make an outbound call using Toky

Toky is not required to be open since it has already been set up based on the instructions of the first video here. Making an outbound call is recommended for the cases that Phone has been selected as the preferred communication way in a new ticket or that you realize that there is a lot of back and forth in the communication and having a call on the spot will save time. Additionally, this option should be used when there is a new voicemail.

To make a call:

  1. Navigate to the Calls tab of a ticket
  2. Click on Make a phone call
  3. Select a contact to place the call
  4. Click Call from browser. If Call from phone is selected, click the dropdown menu and select Call from browser.

Note: There are countries that Hubspot outbound calls are not supported. To call a number in these countries you should do it from Toky.

2. Schedule a meeting using Zoom

Zoom meetings are intended for cases that there are several topics for discussion or for requests that are not urgent. The customer can pick a time slot from our calendar. Please make sure that your availability is correctly indicated in your calendar. To set up the predefined meetings link you check the second video here. When a customer books a meeting, you will receive an email notifying you that a meeting has been booked and an event will be created in your calendar.

In case that there is no zoom meeting link in the event, you should create a Zoom meeting and you should share the link with the customer. To create a Zoom meeting:

  1. Sign in Zoom with the support credential (support@wingtra.com, Orwell044)
  2. Click on Schedule a Meeting
  3. Give the topic of the meeting, the date and time, the duration and the meeting options
  4. Save your meeting

All the scheduled meetings are saved in the Meeting section → Upcoming Meetings. Clicking on a meeting, you can find the URL link and you can copy the invitation and share it with the customer.
