This article will explain which steps are needed in order to make sure customer has quick access to the online operator course as well as that we internally have all needed information which will allow us to properly track planned training.
Schedule an online training
We work with ClickUp to schedule a new training. The Sales Managers can request a new training by creating a new task under the Onboarding Training list as soon as possible, at least 7 days before the training takes place, to make sure licenses are sent in a timely manner.
Clickup templates to use :
- for the online course enrolment of the distributors use the Checklist for online onboarding a new distributor
- for the online course enrolment of the end user use the Checklist for online onboarding a new end-user
When onboarding a new distributor or the end-user, sales should create an HS deal following the information provided in the CU template/ under the subtask 'Create a deal'.
How to send the coupons?
When a customer places an order, Sales will go through the standard procedure of creating a deal, which includes associating the company and contact of the customer.
Since online courses offer up to 6 seats, please make sure you add all the contacts who should receive an email link to access the course.
If the distributor has more than 6 seats, please include all contacts in the deal and inform Tomislav or Zoran to add more seats for the specific customer (this can only apply to the distributor).
It is recommended to create a separate deal just for the courses and give it meaning full name, e.g. Distributor name GEN II online courses.
Sales will add the online courses as a product by their SKU and create a shipment.

The next things to do are:
- Move the deal to Closed wong (100%) stage

- Create Shipment
- Send a request to the production

- Go to the newly created shipment

- Change its status to Cleared

Once the shipment is cleared, the HS workflow will automatically send the coupons to all contacts associated with the deal. In parallel, the workflow triggers a ticket that notifies the CSM the new training is in pipeline.
Task/ reminders
Upon the creation of a deal, task will be triggered to the deal owner reminding them to create a CU task in the Onboarding Training folder.
